RESPONSIBILITIES: Support the Chief Financial Officer (CFO) and Finance team with Accounts Payables as well as routine and special project deliverables. Responsible for maintaining files and reports for each vendor doing business with the Housing Authority. Contact vendors by phone, in writing or in person to obtain or provide information. Input vendors into enterprise accounting system for check preparation based on payment terms and enter information such as the vendor number, account code and amount necessary to process checks. Process and verify Accounts Payable invoices and other expenses for all Housing Authority programs and maintain complete records through posting in accounting software. Follow internal controls in documenting petty cash disbursements and utilize procurement module of enterprise accounting system to generate purchase orders. Compile data to verify accuracy of bills and compute entries to determine prices and discounts. Responsible for researching problem invoices, purchase orders and receives stamps, mail, files, paid invoices, statements, and purchase requisitions, and match invoices with purchase orders. Run trial checks for accuracy, check runs, prints checks, gets signatures and distributes and mails checks. Maintain contact with contractors, vendors, residents and other employees. Perform other duties as they are assigned.
QUALIFICATIONS: Required: Associate’s degree or equivalent education from a two-year college or technical school, with two years of experience using banking software to access credit card and bank statements, two years of experience reconciling corporate credit card statements and obtaining/archiving appropriate supporting documentation. Two years of experience using office systems. Three years of experience directly supporting an executive in a mid-sized organization. Five years of experience supporting a financial or accounting department with knowledge of online accounting enterprise systems (primarily accounts payable and purchase order requisitions).; Preferred: Two years of college education and a certification in Accounting, Bookkeeping, Business Management or Office Administration. Experience in Yardi Voyager payment processing or Emphasys Elite is a plus. Good knowledge of general office procedures and practices of business English, basic to medium arithmetic, and arithmetic operations. Excellent software skills to include Microsoft Office Suite – Excel and Word. A certification in Microsoft Office and Adobe software is a plus. Ability to communicate clearly and concisely both orally and in writing. Ability to understand and follow written and oral instructions. Ability to communicate and relate to persons of diverse backgrounds and abilities. Establish and maintain effective and courteous working relationships with other employees and business contracts outside the Housing Authority. Ability to meet and deal with the public and establish and maintain effective working relationships with lessors and residents. Bondable. Valid Texas Driver’s License, Eligible for coverage under Housing Authority fleet auto insurance. Must show proof of Covid19 vaccination if offered position.
WORK ENVIRONMENT & PHYSICAL DEMANDS: Work is principally sedentary, but may involve some physical exertion, such as kneeling, crouching, or lifting to obtain files and records, and eye strain from working with computers and other office equipment. Work involves the normal risks and a discomfort associated with an office environment, but is usually in an area that is adequately cooled, heated, lighted, and ventilated.
