Role and Responsibilities of the Administrative Assistant:

This role will be assisting the Chief Operating Officer in daily operations.

Responsibilities:

  • Schedules/coordinates meetings, conferences, special events, appointments and travel arrangements.
  • Establishes and maintains filing systems. Orders and stocks supplies.
  • Attend meetings to record minutes
  • Maintenance of office equipment and electronics
  • Ability to manage and understand multiple electronic platforms to assist leadership with reports related to compliance
  • Efficient with Google platform – Google Sheets, Google Docs, Google Slides, Google Email
  • Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required.
  • Experience working in a healthcare environment preferred.
  • Highly skilled phone etiquette, communication verbally, and written skills.
  • Interpersonal skills, professionalism, enthusiasm and desire to learn
  • Project management experience preferred.
  • Minimum of 2 – 5 years of Administrative Assistant experience is preferred, and Executive Administrative Assistant experience would be a PLUS.
  • Healthcare background experience is preferred.
  • Bachelor’s degree is preferred but not required.

What You Will Do

Provide administrative support for executives.

Responsibilities:

  • Prepare or coordinate the preparation of correspondence, forms, reports, presentation materials and other written communications as required.
  • Schedule and coordinate meetings, conferences, special events, appointments and travel arrangements.
  • Prepare, process and edit financial or operational information, data and documents, including materials necessary for meetings, special projects and reports.
  • Attend meetings, keep records of all proceedings and act as custodian for all related documentation.
  • Prepare and distribute subsequent correspondence as needed, and follow up on action items to ensure completion.
  • Prioritize, receive, and screen visitors and telephone calls. Maintain assigned calendar(s).

What You Will Need

Education:

  • High school diploma or GED required.

Additional Preferences

  • Minimum of 2 – 5 years of Administrative Assistant experience is preferred, and Executive Administrative Assistant experience would be a PLUS.
  • Healthcare background experience is preferred.
  • Bachelor’s degree is preferred but not required.
