NVA is looking to add an experienced Payroll Supervisor to the team. This position is perfect for those with a payroll/HR, business, and people management background who are looking for a chance to contribute to a growing company’s success. The Payroll Supervisor will be a key member and coach of the payroll team through utilization of their payroll experience and customer service, people, time, and process management skills to help the team accomplish their goals. Responsibilities include managing a team of up to 10 employees, planning and supporting process change management, identifying and coordinating training and process documentation needs, monitoring team progress, and ensuring quality customer service outcomes.

Job Responsibilities:

  • Foster a positive and collaborative environment within the payroll team and with cross functional departments and teams
  • Build strong working relationships with employees, teammates, cross-functional departments, and management
  • Be a positive agent of change in support of company policies, goals, and initiatives
  • Support and coach a team of up to 10 employees, hold biweekly one on ones, quarterly check-ins, and annual merit reviews based on employee and team goals and expectations
  • In coordination with the Payroll Manager, identify and construct a merit review process based on company policies, performance expectations, and company and employee goals
  • Assess employee knowledge, skill set, capabilities, and potential areas of improvement or growth
  • Support and coach employees to help them reach and accomplish their goals
  • Assess team work load and deadlines, evaluate team schedules and capacity, plan with team and monitor as needed to ensure all work is completed by the applicable due date
  • Continually assess and monitor all team work and processes, ensuring quality customer service outcomes and adherence to all company policies and service level agreements
  • Be the key contact for any escalated items or issues, monitor the situation, and notify/engage the Payroll Manager as needed
  • In coordination with the Payroll Manager, identify key areas and/or processes that need process improvement, documentation, backup, and/or additional support
  • In coordination with the Payroll Manager, identify future state team and process needs to ensure the team can support and fulfill all duties and responsibilities
  • Lead team change management efforts, including identifying training, scheduling, and documentation needs, monitor and manage team progress to implementation
  • In coordination with the Payroll Manager, implement and normalize a case management process, including documentation, customer service and communication, resolution, reporting and metrics standards
  • Monitor use of case management system, develop an audit and metrics assessment process to ensure quality customer service outcomes within defined deadlines and SLAs
  • Support the payroll team’s processes as necessary or as the Payroll Manager directs

Job Qualifications:

  • 10+ years of US Payroll industry experience for a population of 2,000+
  • Deep knowledge and experience with the recurring payroll processing cycle
  • 7+ years of supervisory experience managing a payroll team
  • Physically able to work at a desk in a typical office environment (Role will start with working at home)
  • Highly proficient with Windows PC and Microsoft Office products (Excel, Outlook, Word, etc)
  • Intuitively adapt to changing priorities
  • Expert communicator with professionals at all levels of an organization
  • Accept coaching and direction from management
  • Lead and coach a team of direct reports through a positive and supportive environment
  • Exercise discretion with confidential and/or sensitive information
  • Skilled in dealing with ambiguity and managing competing priorities to ensure deadlines are met
