Job description: Our client, a high profile luxury residential real estate brokerage firm, is looking to hire a star personal and Executive Assistant to support top broker in the country and their team. The successful candidate must have a strong EA/PA background, and an interest in Real Estate would be a plus. Ideally, the candidate will be impeccably polished, well spoken, skilled and have a ‘nothing is beneath me’ attitude. The position requires at least 5-10 years of executive administrative experience post-graduation, and strong personal administrative skills. This role will be reporting directly to the top broker of the team and will include significant marketing and office management tasks. RESPONSIBILITIES

  • Scheduling and calendar management for top broker
  • Handle travel arrangements as needed, personal and professional
  • Communicate directly with top broker’s clients
  • Manage top broker’s emails and correspondence
  • Produce letters, memoranda, presentations, reports, etc.
  • Proofread documents for appropriate grammar, punctuation and spelling
  • Conduct comparative analysis for the team
  • Assist with listing agreements
  • Help set up the office with COVID protocols
  • Execute marketing strategies created by the team
  • Update databases with listings
  • Gather relevant data and present to team
  • Research potential clients and conduct searches
  • Assist in presentation preparation
  • Perform ad hoc projects as needed
  • Run personal errands as needed
  • MUST have high regard for family and employee confidentiality
  • Ad hoc personal projects as needed

REQUIREMENTS

  • Minimum 5-10 years of corporate administrative experience in roles that interfaced with external clients and team management.
  • Interest in real estate
  • Strong analytical, interpersonal and communication skills
  • Great attention to details
  • Ability to perform in a fast paced environment and interact with team
  • College degree preferred or equivalent experience
  • Must have superior skills in MS Word, Excel, Outlook and PowerPoint
  • Excellent organizational skills; detail oriented
  • Strong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high pressure environment
  • Self-starter with the ability to work independently and with minimal guidance

SALARY
(DOE) + commission for new business brought in + benefits + discretionary bonus

HOURS
9am-6pm + 24/7 avail via phone/email
